Assign Checklists to a Cleaner

Learn how to assign Checklists to Cleaners to be completed as part of their shift.

Who can schedule checklists?

Managers and supervisors who have access to scheduling in the web app have access to scheduling checklists.

What can the Enhanced Checklist do versus regular checklists?

With Enhanced Checklists, you can schedule and assign Checklists to your Cleaners via the Scheduling, the One Time Service and Work Order features. You are also able to schedule and assign previously created checklists. Once a checklist is completed it will appear in the  Checklist Results Report.

Can Checklists be Mandatory?

Checklist cannot be set to Mandatory. When scheduled and assigned to a Cleaner, Checklists are listed as Required and when added to a Location they will be listed as Non-required.

What are the Required and Non-Required Checklists?

Checklists that are scheduled and assigned to cleaners become a “Required checklist” while all other created checklists at a Location are “Non-Required”.  A required checklist gives notice to the cleaners when they clock into a shift that a checklist is part of the shift. Non-required checklists are available but are not presented to the cleaner immediately as part of the shift.  Cleaners may complete a non-required checklist as part of a shift.

How to schedule and assign checklists to Cleaners?

  • Log in to the Swept Web App.
  • Select Scheduling in the left-hand menu to get the expanded view.
  • Select New Shift in the left-hand menu.
  • Create the schedule as usual. Please note Location, start date, start time, end date and end time are required fields.
  • Once you add users to the shift you will see a dropdown field under the Checklists column. From here you can do three things when creating or editing a shift.
    • Add a previously created checklist
      • Start typing the name of the checklist you want to add to narrow down your options.
      • Check the checkbox beside the checklist.
      • Click outside of the dropdown to close it. The checklist name will appear.
    • Remove a checklist
      • Start typing the name of the checklist you want to add to narrow down your options.
      • Uncheck the checkbox beside the checklist.
      • Click outside of the dropdown to close it.
    • Create and add a new checklist
      • Start typing the name of the checklist you want to add. If the checklist does not exist you will see the name you entered beside (New Checklist).
      • Click on the name you entered beside (New Checklist) to create the new checklist and add it to the shift.
      • Fill out the following information to create a new checklist:
        • Checklist Name - Enter the name of your checklist so cleaners and supervisors can easily identify it.
        • Location Name - This field pre-populates with the name of the location you are entering the checklist for. This cannot be changed.
        • Description - Add a description for this checklist. What is the checklist's purpose? Are there any additional notes for this checklist?
        • New Area Title - Checklists can be separated into sections by clicking the + Add New Area button at the bottom. Add in the title for this section.
        • New Item - This will be the task that is checked as the checklist is completed. You can add a description of this task by clicking on the Description field beside the item.
