Learn how to set up the Breaks from the Swept and how it shows in the Payroll Report.
In Swept, you can customize and set up breaks for cleaners and supervisors. This feature allows you to establish specific break rules, including the type of breaks (such as lunches or regular breaks), the length of each break, mandatory break settings and whether breaks are paid or unpaid. By configuring break settings, you can ensure that your cleaning team adheres to designated break times and durations, enhancing efficiency and productivity in your cleaning operations.
Break rules can be configured globally (applying to all locations) or set up specifically for each location.
Who can manage the setup of the Breaks?
- Admin Managers can configure the Global Break Settings and Location Specific Break Settings
- Managers/ Supervisors with appropriate permissions can set it up at a Location level.
How to configure Breaks Settings?
There are two areas for configuring Breaks:
- Global Break Settings
- Location-Specific Break Settings
To configure break settings, simply log in and navigate to the bottom left corner of the screen. Click on "Settings" in the navigation bar and select "Breaks".
1. Global Break Settings
Global Settings are standardized break rules for all locations i.e. your default setting.
Configure the following::
- Type: You can create 2 types of breaks, Lunches and Breaks. When you select both, Cleaners will see both options.
- Length: When cleaners start their break, they will be shown the time length of the break. Additionally, cleaners will receive a push notification reminder 5 minutes before their break is scheduled to end.
- Status:
ON: Allows users to clock into breaks in the Swept+ mobile app and Breaks will appear in the Payroll Report.
OFF: The option will appear but it will advise Cleaners to contact their Manager to inquire about break options. Break options will not appear in the payroll report.
- Paid: If the break is set to NOT PAID, the amount of time will not be included in the Total Paid Time in the Payroll Report.
- Mandatory: Set the toggle to “YES” to enforce mandatory break duration for your cleaners and supervisors. This will prevent cleaners and supervisors from clocking in before the set duration requirement is met.
NOTE: Cleaners and Supervisors will NOT be able to clock in before the mandatory set duration of break ends.
🚨 To use this feature, Cleaners and Supervisors must update their app to the latest version.
2. Location-Specific Break Settings
Create specific rules for Breaks at each location. Location-specific break settings have the same configuration options as the Global Breaks settings.
Additional rules to configure location settings:- You can view all the locations that have been added under the Location Specific Break Settings or use the search bar on top. If you haven't added any locations yet, you can learn how to add them here.
- Customized - Appears beside a location that has custom Break Settings that are different from the company's default Break settings.
- Reset to default button - All Break Settings will reset to the company’s default.
NOTE: ONLY Location Specific Settings can be set up from the Swept mobile app
How to edit Break Settings from the Swept+ mobile app?
In the Swept mobile app, you can edit Location Specific Break Settings.
- Select Locations in the bottom navigation bar.
- Click on the Three Vertical Dots and select Edit.
- Scroll down to the Breaks Settings and adjust as needed.
How do Breaks show up on the Payroll Report?
Once a shift is completed the Break and Lunch information will be listed in the Payroll Report ONLY. Break and Lunch can only be seen and edited from the Payroll Report.
How do I access the Break information in the Payroll Report?
- Select Reports from the left-hand menu.
- Select Payroll Report.
- Apply Date, Cleaners and Locations filters as needed.
- All Payroll line entries will appear with a small arrow in the upper right corner of each entry.
- Select the small arrow for each payroll or select the expand all toggle for a condensed view. When expanded, all line items including the Break and Lunch lines are displayed.
NOTE:
- The Break/Lunch line items are only visible for entries in which the Location has the break status enabled. If the Status for a break is off, the line item won’t appear for those entries.
- Time entries round down to the minute on each time entry line. For example, if a Cleaner clocked out at 2mins and 45 seconds it will show as 2mins. The same rule applies to all time entries across your account.
- Break/Lunch entries cannot be added/edited/deleted from the Time Entry and/or Payroll Report
- IVR/SMS Time Entry feature will not allow for taking Breaks.
