Create and Manage Schedule in Swept

Learn how to add single and recurring shifts and assign Cleaners approved or not approved to a location.

 

Details

  • Shifts are the building blocks of Scheduling in Swept

  • Shifts can be set up to repeat on a regular recurring basis
  • Shifts can be "single" shifts that do not repeat
  • Once a shift has been created, you can view time entries when a user logs in to the shift 

  • All shifts with time entries will appear on the "historical shift report"

👉  Ensure your Users are assigned to locations. Cleaners assigned to shifts that are NOT assigned to locations won't see location details (Security Information, Cleaning Instructions).

Who can make create and update schedules? 

Managers and Supervisors with the scheduling permission activated can update your company’s schedules.

Key Points:

  • The Location, Start Date and Time and End Date and Time must be entered to create a recurring shift.  The "Repeat Shift" box not be editable until this information is entered.
  • When you add, edit or delete a shift,  users assigned to the shift change will get a schedule push notification to their phone if they’re logged in to the app and alert within Swept+.

How to Edit / Delete a Shift in Web App

Log in to the Swept Desktop App. In the left-hand menu, click "Scheduling". This will take you to the list of scheduled shifts.

To Edit the Shift

  • Click on the line of the shift you want to edit
  • Make changes to your shift. Click Save.
    • If it is a single shift, the changes will be made to that shift
    • If it is a repeating shift, when you save, you will see two options:
      • Only this event: The edits will only apply to the shift in the series you are editing. If you select a future-dated shift, edits will only apply to this shift. 
      • This and future events - This will edit the current and future shifts in the repeating series. It will NOT include any shifts that were edited using "Only this Event". 

To Delete the Shift

  • Click on the line of the shift you want to delete
  • Click on the arrow in the blue "Save" button, the delete, and select Delete.
  • You will be asked if you want to delete only this event or this and future events
    • Only this event: This option will only delete this one shift in a repeating series
    • This and future events -Thiswill delete the current and future shifts in a repeating series. This includes any shifts that were edited using Only this event. Any historical shifts will remain.

Schedule List 

The schedule list is where you can view, add, and update upcoming shifts. Schedules are separated by day. Within the header for each day, you can see how many hours are scheduled. 

NOTE: These hours only include active user hours. If a shift is unassigned or has inactive users, then those hours will not be included.
