How do I create a GeoFence?

Learn how to create a perimeter around a Location to ensure Cleaners and Supervisors are Clocking In/Out from the correct location.

What is a GeoFence?  

A GeoFence is a digital fence you draw around a location to establish the acceptable area for Clocking In/Out from. 

Who Can Create A GeoFence?

Geofences can be created on the mobile and Web app versions of Swept by Managers and Supervisors with the “Enable Management” permission. 

How is it used?

You have the option to only allow staff to clocking from within an acceptable GeoFence by making the GeoFence Mandatory or Non Mandatory. 

  • Non-Mandatory - When a user Clock In/Out outside of the drawn fence managers are able to view this within the Offsite Clock In/Out Report. Learn more here

  • Mandatory - Users are unable to Clock in/out outside of the drawn fence. There can be exceptions made for specific users. Read more about this here.

How to draw a GeoFence?

  • Navigate to the Swept Web App at https://app.sweptworks.com/ and Clock In.

  • Go to Locations in the left hand menu.

  • On the line of the location you would like to update, click on the three dots and select Details.

  • Scroll down to Geofence (GPS)

      • Use the Map or Satellite option in the top left to update your view. Using satellite will allow you to see the physical building.

      • If you have an address included with your location then you will see a map which includes a red pin on the building location.
      • Use the + and - signs in the bottom right to zoom in and out of your location.
  • At the top of the map you will see an icon of a hand and one of a geometric shape,  click on the hand to move around your view of the map.
  • Once you are ready to draw the GeoFence, click on the geometric shape.
  • Move your mouse to the first corner and left click the mouse to lay the first point.

  • Move your mouse to the second point and click to set the second point. Repeat this step for the third and fourth point.

  • Connect the fourth point to the first point and you will see this appear highlighted in yellow. 

Swept suggests only using a basic four point shape here. The geofence will cover everything within the lines and 100 metres from each point.

  •  Enable Mandatory GeoFence Clock in/out can be checked off to ensure the GeoFence is mandatory and forcing your users to Clock In/Out within the location.
  • Click the blue Save button.

Mobile App

  • Log in to the Swept+ mobile app
  • Go to Locations in the bottom navigation menu
  • Adding a GeoFence is done in the location details screen. This can be accessed in two ways:
    • Adding a Location - Click on the + in the top right corner to add a new location.
    • Editing a Location - On the line of the location you would like to update click on the three dots and select Edit
  • Scroll down the page to Geofence(GPS). Here you can view the GeoFence if drawn. If it is not drawn you will see a map
  • Click Manage Geofence to draw your geofence
  • On the GeoFence screen click Start to being drawing your GeoFence. You will see that it changes to Clear which you can click if you want to clear your GeoFence
  • After clicking Start tap where you would like to lay your first GeoFence point. A point will appear. Tap again for the second, third and fourth point. The GeoFence will show a yellow area within the fence. Please note a geofence must have at least 3 points.
  • Click Save to save the GeoFence
  • Once you save the geofence you can make it mandatory by clicking the toggle beside Mandatory Geofence Clock in/out
  • Click Save on the location details screen to save your location changes

⚠️  If an employee leaves a site with a Mandatory GeoFence and forgets to clock out then they will need to return to the site to clock out or reach out to their Manager/Supervisor to manually clock them out. Managers and supervisors are able to manually clock out employees with Swept's time entry report.
