Learn how to setup travel time to record and report for Payroll purposes.
Details
When Travel Time is set up, it tracks the time it takes a Cleaner to travel between Locations.
When a Cleaner signs out of their shift at one location, travel time starts, and it stops when they sign in to the next Location (Cleaners must be approved to both Locations).
Travel time appears on Payroll Reports giving Managers the ability to approve and pay Travel Time associated with Cleaners shifts.
Total worked time and travel time are calculated separately within the Payroll Reports and provide visibility into the time it takes Cleaners to travel between 2 locations for their shifts.
How To Setup Travel Time Approvals?
Your Locations require Google-verified addresses to work with Travel Time. Learn more here.
⚠️ Travel time will not be calculated for shifts added manually through the Travel Time Report.
Setup Travel Time
- Login to the web app and navigate to the 'Settings' option located at the bottom of the left sidebar.
- Select 'Travel Time Approval'
- There are 3 elements to the setup:
Setting the allowable Travel Time between locations: This is an account-level setting. Once it is set, it is the upper limit between any 2 Locations your Cleaners travel between. This means travel time between any 2 locations cannot exceed this limit.
⚠️ Travel time will not be calculated when the time between a sign-out at one location and a sign-in at another location exceeds the “Allow Up To” limit plus 3 hours”.
Select which method you want to use to track Travel Time with, Google or Recorded.
- Google-tracked time is based on the time Google estimates it should take to travel between 2 locations
- Recorded tracked time is based on the time the Cleaner records it taking between 2 locations
3. Choose the Cleaners approved for Travel Time by selecting them from the left and using the arrow to move them to the right.
Click “SAVE” to save your settings.
