Learn how to add, edit, delete, and manage locations in the Swept for scheduling shifts and inspections by your team
What is a Location in Swept?
There are three ways to think about locations:
- Unique address: An example is an office building with one set of cleaning instructions.
- Unique spaces at the same address: This is for situations where you clean multiple areas within a single building, each with its own cleaning needs and assigned cleaners.
- Unique spaces you bill a client for: This is useful if you bill a client for cleaning a specific area within a larger location such as an airport or hospital.
Locations support:
- Address
- Break settings
- Geo-fencing for clock-in/clock-out
- Security details and Cleaning instructions.
- You can also edit/ delete locations and Bulk Import Locations.
How to add a Location?
- Click on Locations in the left-hand menu.
- Click the green + Add Location button.
- Fill out the following information details: Location Name, Location ID to assist with payroll reports, Address, Country and Time Zone.
- Once the new location is added, it will be assigned to ALL managers, but NOT supervisors.
NOTE: The individual who creates the location will be automatically assigned to it, regardless of their role as a Supervisor or a Manager.
Advanced Option Setup: If Cleaners need to use a landline to clock in manually add Approved Call-in In Numbers for phones in the building cleaners may dial in from to recognize that they are in the correct location. Learn about IVR.
Location-Specific Breaks Settings
There are account settings to default Lunch and Break time and Payroll calculations.- To adjust breaks for a specific location, click on the length to adjust the minutes.
- The status or paid settings can also be customized.
How to verify the Location Address and set up a Geofence?
One premium benefit to Swept is our optional geofencing capability. This creates a virtual boundary for cleaner check-in/out accuracy.
- Use the Map or Satellite option in the top left of the map. Satellite will allow you to see the physical building.
- Based on the location's address, you will see a red pin on the cleaning site.
- To draw the GeoFence, click on the geometric shape at the center of the map. Move your mouse to the first corner and left-click the mouse to lay the first point. Move your mouse to the second point and click to set the second point. Repeat this step for the third and fourth points. Connect the fourth point to the first point and you will see this appear highlighted in yellow.
Verify Location on Google Maps
When you add in a location you can include the address of the location. When you add the address to a location it will appear in the app when somebody selects a location. The address is also used in other Swept features including GeoFences and Travel Time.
NOTE: When you add a new address, you can have Google verify the address by selecting the address from the dropdown that appears. We recommend verifying it for easy tracking and navigation.
Once you select the appropriate address it will fill the other address information and timezone with the verified information.
Setting up Security Information
Your team must have secure access to enter locations. Enter the necessary information into the text editor.
- Swept supports links, images, and rich text edits to bullet point important information.
- Cleaners with assigned shifts will use their personal security pin to view instructions to access the client's locations.
- Swept time stamps entry into the building to know who, when and where the cleaner was to give you peace of mind.
Provide your team with Cleaning Instructions
Cleaning Instructions are a way to communicate what is expected of your staff during their shifts. Based on your client's requirements, you can easily coach your team on step-by-step instructions or emphasize areas and procedures by adding images to your instructions.
- Cleaning instructions will be translated based on the Cleaners mobile language setting. However, if you want to write exact instructions choose the Instruction Language dropdown. For example, if you are bilingual and prefer to communicate in Spanish but would like to write the cleaning instructions in English you can select English from the dropdown.
- Were you given a document (PDF, Excel, Word etc.) that you would like to add? You can link to external documents within the Cleaning Instructions. To add a link within your cleaning instructions click on the link icon to paste in the URL to the document if you've uploaded it to a Google Drive.
How to Update/ Edit/ Delete a Location
- Click on the three dots to the right of the location you want to edit and choose Edit.
- This will allow you to edit any changes to the location or adjust security and cleaning instructions.
- To delete a location, click the arrow next to Save and select Delete Location.
❗Warning- Deleting a location is permanent and all historical scheduled shifts will be removed. Note that payroll and time entries remain accessible.
